To efficiently purge my Downloads, you can initiate by arranging the files by their size. Thoroughly, each file is inspected individually; this ensures any crucial files are preserved prior to transferring the non-essentials into the Trash. A critical reminder post-cleanup: always empty the Trash to finalize the decluttering of your Downloads.

If you automatically back up all your photos to iCloud from your iPhone, then quite quickly a lot of unnecessary stuff appears on the cloud. All these photos and videos then end up on iCloud. To tailor the organization to your preference, another right-click on the desktop is needed. Navigate through the sub-menu entitled Group Stacks By, where a selection awaits: classify by file type, or perhaps by date – modified or added, or other sorting criteria.

#4 Tidy Up Your Emails

Without regular attention, emails can avalanche into chaos. So, here’s the strategy that restored digital sanity:

  1. Swipe left, delete. Adios to unnecessary clutter!
  2. Archive with precision—every single email finds its folder fortress.
  3. Newsletters? If they go unread, they go unsubscribed. That tiny “Unsubscribe” link is my new best friend.
  4. Pro tip alert: oldest first. Sort them by date and prepare for an excavation. Emails from 2005? Time travelers, be gone!

Essentially, this allows you to attach a Tag to a file at any point, either during the creation process or just as you hit the save button. Conveniently located within the Finder’s sidebar, these Tags enable you to quickly find all related documents.

Should your needs be more specific, such as for organizing materials related to a work project, the flexibility to generate a custom Tag is available. This way, you can sort and access a collection of project-related documents with ease, using a uniquely designated Tag.

#6 Create Smart Folders

Maximize your file organization on a Mac by harnessing the power of Smart Folders. These folders cleverly compile your files based on the criteria you designate without relocating the originals. What’s more, they stay updated, capturing any new files that match your specified conditions.

Here’s a spin on creating a Smart Folder for your Mac:

  • Initiate by launching Finder. Navigate to ‘File’ on the top menu and make your way to ‘New Smart Folder’.
  • A ‘plus’ icon, situated at the top-right, awaits your click to open the avenue for rules.
  • Delve into the criteria selection process – this can include anything from the kind of file, the date it sprang into existence, or specific keywords tied to the files.
  • Once you’ve tailored your criteria, command the system to ‘Save’.
  • Your Mac will present a dialogue box craving a name for this new Smart Folder. After naming, define where this folder should reside in the digital architecture of your Mac. Finalize with another click on ‘Save’. Like magic, your folder will now gather all files that agree with the rules you established.

#7 Favorite Your Folders
